Policy Purpose

Responsible Distribution for Scholarly Books and Digital Publications

The purpose of this policy is to provide transparent information about how print books, eBooks, edited volumes, chapters and proceedings may be released through UnivColl Publications. It helps authors, editors, institutions, libraries and readers understand format options, identifier use, metadata requirements, availability status and distribution limitations.

Distribution is not a single promise. It is a controlled publishing workflow involving rights, production quality, identifier assignment, pricing, metadata, file formats, delivery method, platform rules and post-publication version control.

Official Disclaimer

No False Marketplace, Sales or Indexing Claims

UnivColl Publications does not claim guaranteed bookstore listing, guaranteed sales, guaranteed library catalogue inclusion, guaranteed indexing, guaranteed ranking or guaranteed third-party distribution. Availability is confirmed only through official publisher records, verified identifiers, approved publication agreements and active distribution channels.

Distribution Principles

Built on Metadata Accuracy, Rights Clarity and Reader Trust

Print and eBook distribution must protect scholarly integrity while also giving authors, libraries and readers accurate information about how a publication can be accessed or ordered.

Principle

Clear Availability Information

Every publication should clearly indicate whether it is available as print, eBook, open access digital file, institutional copy, library copy, limited distribution item or author/editor copy.

Principle

Accurate Metadata

Book records should use correct title, subtitle, author/editor names, affiliation details, edition, publication year, ISBN, eISBN, DOI, license, pricing status and landing-page information where applicable.

Principle

No Guaranteed Third-Party Listing

Listing on bookstores, aggregators, libraries, indexing services or third-party platforms depends on platform rules, metadata acceptance, commercial arrangements and technical processing.

Principle

Edition and Version Control

Print editions, eBook editions, revised editions, corrected versions and new formats should be described clearly so readers and libraries can identify the correct version.

Publication Formats

Print, eBook and Institutional Access Options

Format availability depends on the publication agreement, rights clearance, production quality, metadata readiness, author/editor approval and publisher distribution plan.

Format

Print Paperback

Paperback distribution may be used for academic textbooks, edited books, monographs, proceedings, reference works and author/editor copies where print production is approved.

Format

Print Hardcover

Hardcover may be considered for library-ready editions, reference works, institutional orders and premium academic publications where production cost and demand justify the format.

Format

eBook PDF

PDF eBook files may be distributed through the publisher website, institutional arrangements, author/editor access or approved digital channels depending on licensing and rights status.

Format

EPUB / Reflowable eBook

EPUB or other reflowable formats may be prepared where the content structure, images, tables, equations and rights clearances support conversion and quality assurance.

Format

Open Access Digital Edition

Selected works may be released as open access where the publication agreement, copyright status, licensing terms and funding model permit immediate free access.

Format

Institutional / Library Copy

Institutions, libraries, departments and conference organizers may request print or digital access according to the publication agreement and availability status.

Distribution Workflow

From Agreement to Public Availability

The following steps describe the normal distribution-readiness pathway for scholarly books, edited volumes, chapter collections and proceedings.

1
Step

Publication Agreement and Rights Check

Before distribution, the publisher confirms author/editor agreement, copyright ownership, third-party permissions, image/table rights, license choice and any restrictions on commercial or open distribution.

2
Step

Production and Format Preparation

The manuscript is prepared for approved formats such as print-ready PDF, cover file, eBook PDF, EPUB or online landing page, with quality checks for layout, pagination, metadata and accessibility.

3
Step

Identifier and Metadata Review

ISBN, eISBN, DOI, book title DOI, chapter DOI, edition number, publication date, contributor data and landing-page URLs are reviewed where applicable before public release.

4
Step

Pricing and Access Confirmation

The publisher confirms whether the work is open access, priced, print-on-demand, institutional only, author-copy only, conference-copy only or temporarily unavailable.

5
Step

Distribution Channel Activation

Approved records may be shared through the publisher website, direct order system, institutional channel, conference partner, metadata service or selected third-party distributor where available.

6
Step

Post-Publication Monitoring

Availability, metadata accuracy, broken links, version notices, correction status and reader/library queries are monitored and updated when required.

ISBN, eISBN, DOI and Edition Metadata

Identifier and Version Transparency

Correct identifiers help readers, authors, libraries and citation systems identify the right format and edition. Identifiers should be displayed only after assignment and verification.

Metadata Item Use Publisher Note
ISBN Used for a specific book edition or format where assigned. A print ISBN should not be treated as an automatic eBook ISBN unless the assigned record permits that use.
eISBN Commonly used to describe ISBN assigned to an electronic edition. The actual identifier should be displayed as ISBN for the electronic format, with format clearly stated.
DOI Persistent identifier for a book, chapter or other scholarly object where DOI registration is approved. A DOI must resolve to a stable landing page with accurate metadata.
Chapter DOI Used when individual chapters need separate citation and discovery records. Chapter-level metadata should include chapter title, authors, pages and parent book details.
Edition Statement Identifies revised, second, third or corrected editions. Minor reprints should not be presented as new editions unless content has materially changed.
Publication Date Identifies the release date for the relevant format or edition. Print and eBook release dates may differ and should be recorded accurately.
License / Rights Statement Clarifies reuse permissions for readers, libraries and platforms. Open access, all-rights-reserved, CC license or restricted-use terms must not contradict the publication agreement.
Landing Page URL Official page where readers find the publication record and access/order details. The URL should remain stable and be updated if files, editions or notices change.
Metadata Readiness

Information Required Before Distribution

Complete metadata reduces errors in citation, ordering, library processing, DOI registration, catalogue display, search visibility and reader discovery.

Important

Metadata should be corrected before public distribution whenever possible. After release, corrections may require version notes, updated records, revised files or new edition information.

  • Full title, subtitle and short title where applicable
  • Author/editor names, affiliations, ORCID/profile links where available
  • Book type: monograph, textbook, edited volume, proceedings, reference work or chapter collection
  • Edition number and version note if the work is revised or corrected
  • Publication year, publication month/date and format-specific release information
  • ISBN for print edition and ISBN/eISBN for electronic edition where assigned
  • DOI for book title and chapter DOI where registered or planned
  • Abstract/description, keywords, subject area and language metadata
  • Table of contents, chapter titles, contributor details and page ranges
  • Copyright holder, license, reuse terms and third-party material permissions
  • Price, currency, order method, access type and availability status
  • Official landing page URL, cover image, file format and accessibility notes
Distribution Channels

Official, Direct, Digital and Institutional Distribution

Distribution channels may differ by publication type. The publisher record should always clarify whether the work is directly available, open access, order-based, institutional, temporarily unavailable or platform-dependent.

Channel Purpose Availability Disclaimer
Publisher Website Official publication page, metadata, ordering, open access files, author/editor details and update notices. The publisher website is the primary source for official availability status and version information.
Direct Order / Institutional Request Print copy requests from authors, editors, colleges, universities, libraries, conference partners and departments. Print fulfilment depends on stock, print schedule, payment confirmation, delivery location and courier availability.
eBook / Digital Access PDF, EPUB or digital files provided under the approved license and access terms. Digital access may be open, restricted, password-protected, institution-specific or delayed depending on agreement.
Third-Party Platforms Optional visibility through bookstores, aggregators, metadata services or catalogues where applicable. No third-party listing, ranking, sales channel, library catalogue inclusion or delivery timeline is guaranteed.
Conference / Event Distribution Copies for conference proceedings, seminar volumes, workshop books and institutional events. Event distribution must be planned in advance with final files, permissions, quantity, address and payment details.
Library and Archive Records Metadata or copies may be shared with libraries, repositories or archives where suitable arrangements exist. Catalogue visibility depends on library policy, metadata acceptance, acquisition rules and processing time.
Print Distribution

Print Production and Copy Availability Rules

  • Print copies are produced only after final editorial approval, production approval and rights clearance.
  • Cover design, trim size, paper quality, binding type, colour pages and quantity affect cost and timeline.
  • Print pricing may differ by edition, country, courier charges, taxes, platform fees and production method.
  • Author/editor complimentary copies, if any, are governed by the publication agreement, not by automatic entitlement.
  • Minor typographical corrections may be corrected in future print runs without changing the edition statement where appropriate.
  • Major content changes, new chapters, revised conclusions or substantial updates may require a new edition or version notice.
  • Damaged, lost or delayed delivery claims must be supported by order record, payment details, address and courier evidence.
  • Bulk orders by institutions or conferences should be requested well in advance of the required delivery date.
eBook Distribution

Digital File Access and eBook Use Rules

  • eBook distribution depends on the final digital file quality, copyright permissions, accessibility checks and license terms.
  • PDF eBooks preserve page layout and are useful for citation, while EPUB or reflowable formats may require separate conversion checks.
  • Digital files must not include third-party images, tables, figures or copyrighted material without permission or lawful reuse basis.
  • Open access eBooks must display clear license terms and should not create conflict between copyright and reuse rights.
  • Restricted eBooks may be limited to purchaser access, institutional access, author/editor access or approved course use.
  • Digital watermarking, access control or download limits may be applied where required by the publication agreement.
  • Readers should cite the official version, edition, DOI/ISBN and publication date shown on the publisher landing page.
  • File replacement after publication should be documented when the correction affects scholarly content, pagination, citation or interpretation.
Author / Editor Responsibilities

What Contributors Should Confirm

  • Confirm that all submitted text, images, tables, figures, datasets and third-party content are cleared for the proposed print and digital formats.
  • Provide complete author/editor details, affiliations, ORCID/profile links, chapter titles and contributor sequence before production lock.
  • Review proofs carefully because print and eBook corrections become more difficult after release.
  • Disclose any funding, sponsor requirements, institutional restrictions or repository obligations that affect distribution.
  • Do not advertise ISBN, DOI, indexing, platform listing, print release or eBook availability before official confirmation from the publisher.
  • Use the official publisher landing page when sharing or citing the work, especially where DOI/ISBN records are active.
  • Respect the license and do not upload restricted eBook files to public platforms without written permission.
  • Inform the publisher promptly about metadata errors, broken links, file-access issues or post-publication corrections.
Publisher Commitments

What UnivColl Publications Will Do

  • Maintain an official landing page for approved publications where feasible.
  • Display publication format, identifier, copyright, license, order/access status and update information clearly.
  • Avoid unverifiable claims about bookstore placement, sales ranking, library holdings, indexing or global distribution coverage.
  • Use accurate metadata for books, chapters and proceedings to support discoverability and citation.
  • Separate editorial acceptance from commercial distribution decisions and platform availability.
  • Correct material metadata errors where verified evidence is provided.
  • Preserve appropriate version notices when digital files are corrected or replaced after publication.
  • Respond to author, reader, library and institutional distribution queries through official communication channels.
Pricing and Access Status

Open, Priced, Direct Order or Restricted Access

A publication may be open access, priced for print, priced for eBook, available only through direct order, available to institutions, or restricted by agreement. Any public page should clearly show the current availability model and avoid confusing print-price information with digital open access terms.

Reader Guidance

Always Check the Official Publication Record

Readers, libraries and authors should check the publisher landing page for format, edition, identifier, price, access link, correction notice, licensing terms and contact information. If a third-party platform shows different information, the publisher record should be used for verification.

Distribution Disclaimer

Availability Must Be Evidence-Based and Verifiable

UnivColl Publications follows a transparency-first approach. Authors, editors, partners and third parties should not make promotional claims about distribution, indexing, sales, ranking or platform listing unless the claim can be verified from an official source.

  • Publication by UnivColl Publications does not automatically guarantee sale, profit, ranking, review coverage or third-party marketplace listing.
  • Print availability may be temporarily affected by production capacity, file readiness, courier delays, stock status, payment verification or address limitations.
  • eBook access may vary by license, agreement, file format, platform rules, institutional access arrangement and technical compatibility.
  • ISBN, eISBN or DOI status must be verified from the official publication record and should not be assumed from a draft cover, proposal or acceptance email.
  • Third-party websites may display outdated, incomplete or incorrect metadata; the publisher landing page should be treated as the primary reference point.
  • Distribution timelines for bulk print, conference proceedings, institutional copies or platform uploads may differ from editorial publication timelines.
  • Any claim about indexing, library catalogue inclusion, marketplace listing or platform acceptance must be evidence-based and verifiable.

Print and eBook Distribution FAQ

Common questions about print books, eBook files, ISBN, third-party platforms, library requests, official records and version handling.

Does every book published by UnivColl Publications automatically receive both print and eBook distribution?

No. Distribution format depends on the publication agreement, production readiness, rights clearance, metadata status, ISBN/DOI assignment, access model and approved distribution plan.

Is an ISBN guaranteed for every publication?

ISBN assignment depends on the publication type, edition, format, national ISBN process and publisher approval. The official publication page should be checked for the final identifier status.

Can print and eBook editions have different ISBNs?

Yes. Different formats or editions may require separate ISBN records. The publisher will display format-specific identifiers when they are assigned and verified.

Does publication guarantee listing on Amazon, Flipkart, Google Books, library catalogues or other platforms?

No. Third-party listing depends on platform rules, distributor arrangements, metadata acceptance and processing. UnivColl Publications does not make unverifiable listing guarantees.

Can an author share the eBook PDF publicly?

Only if the publication license or written permission allows public sharing. Restricted or priced eBook files should not be uploaded to public platforms without approval.

How should libraries or institutions request copies?

Libraries and institutions should contact the publisher with title, format, quantity, institution details, delivery/access requirements and billing information.

Minor errors may be corrected in a future print run. Material scholarly errors may require a correction notice, revised edition, updated eBook file or version note depending on seriousness.

Which version should readers cite?

Readers should cite the official publication version shown on the publisher landing page, including title, author/editor, edition, year, ISBN/eISBN/DOI and page or chapter details where applicable.
